This policy explains what information Optimum Clean collects, why we collect it, who we share it with, and what you can ask us to do with it. It covers our website, our customer portal, and our online ordering system.
1. Who we are
Optimum Clean LLC ("Optimum Clean", "we", "us") is a commercial janitorial and disinfection company. Our mailing address is 98 Copley Ave, Teaneck, NJ 07666. You can reach us about anything in this policy at info@optimumclean.com.
We are the party responsible for the information described here.
2. Information we collect
When you contact us through the website
If you submit our contact form, we collect the name, business name, email address, and any message you provide. We use it to respond to your enquiry and to prepare a quote. We do not sell it and we do not add you to a marketing list without asking.
When you have a customer portal account
Portal accounts are created by us for existing business customers. For each account we hold:
- your business name and the name of your contact person;
- the email address used to sign in;
- an encrypted version of your password — we cannot see or retrieve your actual password, and neither can anyone else;
- a record of when the account was created and last used.
When you place an order
We keep a record of each order: the products and quantities, the prices that applied, any product options you selected, your preferred delivery date, any notes you added, and the date and time it was submitted. This becomes your order history, which you can see any time you sign in.
We do not collect or store payment card details. No payment is taken through this website. Orders are placed on your existing account terms and invoiced separately.
Information collected automatically
Our hosting provider records standard technical information such as IP address, browser type, and the pages requested, as part of delivering and securing the site. We use this only for security and reliability.
3. How we use information
- To respond to enquiries and prepare quotes.
- To operate your portal account and let you sign in securely.
- To receive, confirm, and fulfil your orders.
- To send you order confirmations and the documents relating to your orders.
- To keep our own accounting records and issue invoices.
- To protect the site and our customers against fraud and abuse.
We do not sell personal information, and we do not share it for advertising.
4. QuickBooks Online
We use Intuit QuickBooks Online for our own bookkeeping. With the authorisation of an Optimum Clean administrator, our ordering system connects to our QuickBooks company so that an order placed in the portal becomes an invoice record in our accounts without anyone re-typing it.
What this connection does. It reads our customer and product records so an order can be matched to the right account, and it creates invoice records for orders placed through the portal.
What this connection does not do. It does not access bank accounts, bank feeds, payroll, employee records, or tax filings. It does not give any customer access to our QuickBooks company, and it does not give us access to any customer's QuickBooks company.
The connection is authorised only by Optimum Clean, only for our own company file. The access credentials for it are stored securely on our server infrastructure, are never exposed to any web browser, and can be revoked by us at any time from within QuickBooks, which immediately ends the connection.

5. Service providers
We rely on a small number of providers to run the site and the portal. Each receives only what it needs to perform its function, and none of them are permitted to use your information for their own purposes.
- Website and application hosting — serves the site and runs our ordering system.
- Database and account services — stores portal accounts, the product catalogue, orders, and invoices.
- Email delivery — sends order confirmations and account emails such as password resets.
- Accounting — Intuit QuickBooks Online, as described above.
We may also disclose information where we are legally required to, or where it is necessary to protect our rights, our customers, or the security of our systems.
6. Cookies and similar technologies
The public website does not use advertising or tracking cookies. The customer portal uses browser storage strictly to keep you signed in during your session. Clearing it signs you out. We do not use it to follow you across other websites.
7. How long we keep information
- Contact form enquiries — kept while we are in contact with you and for a reasonable period afterwards.
- Portal accounts — kept for as long as the account is active. When an account is closed we disable access; we may retain the record where it is connected to order or invoice history.
- Orders and invoices — retained as business and accounting records for as long as the law requires and our accountants advise.
Where we remove a product from our catalogue, we deliberately preserve the order history that refers to it, so your past orders stay accurate.
8. Security
The site is served over an encrypted connection. Passwords are stored using one-way encryption and cannot be read by us. Access to customer data is restricted so that a signed-in customer can see their own account, orders, and invoices, and no one else's. Administrative functions require separate credentials.
No system can be guaranteed completely secure, but if we become aware of a breach affecting your information we will notify you and take the steps required of us.
9. Your choices
You can ask us to:
- tell you what information we hold about you;
- correct anything that is wrong or out of date;
- delete information, where we are not required to keep it as a business or accounting record;
- close your portal account.
Write to info@optimumclean.com and we will respond within a reasonable time. We may need to verify who you are first.
10. Children
This is a business-to-business service. It is not directed to children and we do not knowingly collect information from anyone under 18.
11. Changes to this policy
If we change this policy we will post the revised version here and update the effective date at the top. Material changes affecting portal customers will also be sent by email.
